ROLE: Receptionist - Singapore
DEPARTMENT: General Management
While applicants should have developed knowledge and skills through formal training or considerable work experience, works within established procedures with a moderate degree of supervision and able to identifies the problem and all relevant issues in straightforward situations, assesses each using standard procedures and makes sound decisions. Ample training and coaching will be provided to the right candidate.
The role reports to the HR Manager.
Answering, directing phone calls and attending to queries.
Directs visitors by maintaining employee and department directories.
Assisting incoming guest and direct to respective staff (offer drinks)
Ensure visitor log book is implemented.
Maintains security by following procedures; issuing visitor badges.
Reservation for conference room
Assisting on listing and segregating Incoming invoice for Finance and Purchase Department.
Updating Leave Balance for the employee. Checking and recording of daily attendance.
Preparing Mail bag list for various vessels
Handling courier matters. (DHL, FEDEX, Local)
Any other Ad-Hoc work assigned
Education & Experience
A level or Diploma / Higher educational
At least 2 years of working experience
Previous working expericne in a front desk receptions will be an added advantage
Candidate with knowledge in Shipping industry will be advantageous
Skills / Competencies
Must have a positive attitude and strive for continuous improvement.
Customer focused & proactive, able to communicate clearly and with confidence.
Must be a team player and able to work with all levels of people.
Able to meet tight deadlines.
Must be proficient in software applications, particularly Excel & Word ( pivot table and value cap)
