Office Administrator - Dublin

ROLE: Office Administrator

LOCATION: Dublin

CONTRACT: Permanent

DEPARTMENT: General Management

JOB DESCRIPTION

Reporting to the Senior Management and liaising with the Dublin Office colleagues, the successful candidate will be responsible for the general support to the Dublin Office regarding reception and office management duties:

  • Meeting and greeting Clients, managing the reception and maintaining a professional approach and atmosphere in the reception area;
  • Answering telephones, managing switchboard and taking messages as required;
  • Supporting the organization and planning of off-site events (Staff and Christmas Party, etc.)
  • Managing the Meetings’ Diary including planning, organizing and preparing meeting rooms, ordering catering as required
  • Attending, collating documents, reports and minute-taking for monthly management meetings;
  • Receiving, sorting, and forwarding incoming mail and couriers (local and international);       coordinating the pick-up and delivery;
  • Ordering, receiving and stocking office, mailroom and kitchen;
  • Assisting with travel and transportation arrangements and accommodation requirements for the staff based in Dublin and for visitors;
  • Receiving invoices for office supplies and verifying their accuracy;
  • Collecting receipts for Credit Card Statements;
  • Updating Schedules of Directors and Staff Itinerary in collaboration with the Dublin HR Manager;
  • Assisting with other clerical duties such as photocopying, scanning, faxing, filing and collating document, and maintaining the office filing system;
  • Assisting the Legal Department and the HR Department with the delivery and collection of various official documents to and from various public offices, including banks and the Department of Foreign Affairs;
  • Assisting with general ad hoc duties as required;

EXPERIENCE AND RELEVANT SKILLS

A minimum of 2-years’ experience in similar role.

As part of this role the successful candidate will be exposed to sensitive and confidential information and must therefore act with maximum levels of discretion and integrity at all times;

The successful candidate must be:

  • highly motivated, proactive, flexible, have the ability to solve problems and multitask;
  • able to work independently and, at the same time, to interact effectively in a team environment;
  • excellent in their communication and interpersonal skills;
  • fluent in English, knowledge of Italian is a plus
  • EU work permit
